There are two kinds of consent. A treatment consent is a form the client signs for a visit. Privacy consents record whether the client agrees to health records, clinical photos and photos in marketing.

Before you start

  • Build the consent as a form, then mark it as a consent: open it in Forms, select When it’s asked, set Type to Consent, and select Save. Type shows once charting is on. See Create an intake form.
  • Publish the form. Only published consent forms can be signed.
  • Set up your signing PIN. You need it to take your device back from the client.
1

Open the entry

Open the client’s chart entry and go to Consents.
2

Choose the consent

Select Sign on this device, then the consent form.
3

Hand the device to the client

The client reads the form, answers it, signs in the box and selects Send answers.
4

Take the device back

Select Hand back and enter your six-digit Signing PIN, then Unlock.
The consent shows under Consents as Signed, with the time. Select View to read it. While the client has the device, it stays on the form until a team member enters their PIN.

Record privacy consents

On the client’s profile, open the Chart tab. Privacy consents lists Health records, Clinical photos and Photos in marketing, each with its status, such as Not asked or Agreed. Select the menu beside one, then:
  • Get consent to hand the device to the client on your Privacy consent form.
  • Record paper consent when the client signed on paper. Check that you’ve seen it, then select Record consent.
  • Withdraw when the client takes back their consent.

Good to know

  • Privacy consents are asked only when Ask clients for privacy consent is on in Settings, Charting. See Get started with charting.
  • Without consent to clinical photos, new photos can’t be added. Without consent to health records, the entry says so and you can still chart.
  • Withdrawing keeps everything already in the record. Withdrawn clinical photos consent stops new photos. Withdrawn marketing consent means their photos can’t be used in marketing.
  • Only people with the View medical information permission can read a signed consent’s answers.
