Charts keep a clinical record for each client: a chart entry for each visit, a medical summary of allergies, medications and conditions, photos and files. Entries are signed with a PIN or Face ID, and every view, change, signature and export is logged.

Turn on charting

1

Open Charting

Go to Settings, Business, then Charting.
2

Turn on Keep client charts

Turn on Keep client charts. The first time, read the Data Processing Agreement with Read the agreement, then tick to accept it.
3

Choose the rules

Turn on Require provider signature for providers to sign their own charts, Require Medical Director sign-off for a Medical Director or an owner to review each chart, and Ask clients for privacy consent to ask clients to agree to health records and photos. Choose how long to Keep records for, counted from the client’s last visit.
4

Choose which services start a chart

Under Charts by service, check each service that should start a chart entry when it’s booked, and pick its template.
5

Save

Select Save.
Charts appears in the menu for everyone allowed to see charts.

Choose who can see charts

Charts have their own permissions: View client charts (charts where the person is the provider), View everyone’s client charts, Manage client charts, Sign client charts and Export charts. Select Team beside Edit staff roles and permissions to set them for each person. See Change a team member’s permissions.

Good to know

  • Charting is part of the Clinic plan. On another plan, the switch says how to change your plan.
  • Templates has the headings you write under. Select Manage templates to add your own.
  • Owners see Access log: who opened, changed, signed or exported each chart.
  • Turning charting off deletes nothing. Charts are kept for the time you chose, and come back when you turn it on again.
